Phase 1 · Delivered

Patient records & appointment scheduling

Authoritative patient profiles, secure intake invites, provider and visit-type setup, and calendars with blocked time and realistic durations. Booking notices route by preferred contact—email, SMS, or WhatsApp—with accept/decline flows, reschedule re-acceptance, and staff resend while pending. Operational dashboard surfaces pending onboarding and bookings awaiting acceptance.

Phase 2 · Delivered

Treatment documentation, statements & billing foundation

Structured SOAP notes with reusable templates, treatment queues, and medical aid reimbursement PDFs with practice letterhead. Per-patient invoicing, payment recording, and credit auto-apply on issue. Optional Heidi scribe on treatment visits—patient and template context prefilled, notes pushed into SOAP drafts for staff sign-off.

Phase 3 · Delivered

Patient communication

Scheduled appointment reminders (default 24h and 2h), staff-authored communication templates with merge fields, manual one-off outreach, and a per-patient message timeline—built on the same outbound delivery layer as transactional booking notices.

Phase 4 · In progress

Staff billing depth & medical aid claims

Core staff billing (P4a) is delivered. Next: medical aid claims workflows. Patient portal scope (authenticated self-service beyond intake) is planned and aligns with multi-tenancy portal enrollment (T4).

Phase 5 · In flight

Reporting & analytics

Operations KPIs, visits trend, provider productivity, collections summary, and collections vs net-issued trend are live on /reports and as a dashboard snapshot. CSV export and A/R aging are next—see the reports & dashboards page for the full Phase 5 status and a preview of the snapshot UI.

Multi-practice & team foundations

Built for clinics that may grow into groups, shared providers, or multiple locations—without starting over on software.

Practice as tenant

Each clinic is its own organisation with profile, letterhead, WhatsApp sender, visit types, and templates—seeded automatically when a new practice is created.

Multi-provider scheduling

Providers can affiliate with multiple practices; calendars respect per-practice availability and flag cross-practice booking conflicts before they become no-shows.

Staff roles & permissions

Reception and clinician roles with a permission matrix; team members link to provider profiles. Practice manager and billing roles continue to expand.

Partner-ready

Integrations for clinics and technology partners

Heidi Health — embedded clinical scribe on treatment visits when enabled; server-side JWT mint, patient prefill, visit-type template mapping, push into SOAP drafts. Requires Heidi Partnership entitlement.

Outbound messaging — Azure Communication Services (email), BulkSMS (SMS), and Meta Cloud API (WhatsApp templates)—extensible transport layer for booking, reminders, and manual outreach.
